Rental Policies and Procedures

Check-In/Check-Out Times: Check-in is after 4:00 P.M. Eastern Time, depending on availability. Due to our high standards for cleanliness, there is a possibility that your vacation rental may not be ready at 4:00 P.M. (ET), especially during peak season. Your patience is appreciated. Check out is 10:00 A.M. Eastern Time. Please leave on time so that the unit may be prepared for our next guests. 

Late Arrival: Guests arriving after 5:00 P.M. (ET) or on a major holiday should contact the office prior to arrival regarding check-in procedures.

Age Requirements: No rental will be made to vacationing students or singles under the age of twenty-five (25) unless always accompanied by a parent or guardian. Any reservation made under false pretenses will be subject to forfeiture of advance payment, deposit and/or rental money. Violators will be evicted.

Minimum Stay Requirements: All seasonal rentals require a minimum advance reservation of seven days. Weekly reservations run Saturday-to-Saturday or Sunday-to-Sunday depending on the vacation rental unit. If you require a shorter stay or a different check-in day, please contact our office for availability and rate.

Maximum Occupancy: The maximum number of guests per unit is based on the individual unit’s ability to accommodate our guests comfortably and safely. If maximum occupancy is exceeded, you will be asked to vacate the property and forfeit all rental payments.

Rental Payment: 50% of the total due at the time a reservation is booked. This includes the Rental Rate, plus 12% tax (7% Florida Sales Tax and 5% Gulf County Tourist Development Tax) and 100% of the cost for travel insurance, if purchased. The advance payment will be applied toward the total amount due and is not a damage deposit. Full payment is due 30 days prior to your scheduled arrival date. We accept cash, personal check, MasterCard, Visa, Discover, and American Express. All payments are deposited in an interest-bearing escrow account to the benefit of Cape San Blas Vacation Rentals, Inc. 

Travel Protection Insurance: Cape San Blas Vacation Rentals, Inc. has partnered with Red Sky Travel Insurance to provide Sun Trip Preserver® coverage for our guests. Sun Trip Preserver provides cancellation and interruption services as well as emergency assistance and travel services. Protect yourself in the event of hurricane evacuations and family emergencies such as illness or death in the family. The travel insurance is optional, and the cost is 6.95% of your total reservation stay.
IF YOU CHOOSE NOT TO PURCHASE RED SKY TRAVEL INSURANCE, YOUR PAYMENTS WILL NOT BE REFUNDED IN THE EVENT THAT YOU CANNOT COMPLETE YOUR VACATION PLANS.

Reservations Canceled/Reservations Changed: A minimum fee of $150.00 or 10% (whichever is greater) will be charged on the reservation total of a canceled reservation only if the property re-rents for the same time and at the same rate. Changes in a reservation, whether to the same property under different dates or changing properties altogether will be treated as a cancelled reservation. In the event the property does not re-rent for the same time and at the same rate, all monies paid to Cape San Blas Vacation Rentals, Inc. will be forfeited.

Damage Deposit: A damage deposit is required on all our rental units. If you are unable to provide a valid credit card you will be required to pay a damage deposit of $500.00 to $1,000.00 at the time your final payment is made. This payment will be refunded within twenty-one (21) days of departure, providing there is no damage or theft to the unit and all policies and procedures were followed.

Units for Sale: If the property which you are renting is on the market for sale, we may find it necessary to show the property during your stay. We will make every effort to schedule the showing at a convenient time that does not disrupt your vacation.

No Pets: Only dogs are permitted in designated "pet-friendly" properties. Pets found in a non-pet-friendly properties will result in immediate eviction, no exceptions and no refunds. Additional charges, up to $1,000 may be incurred for extra cleaning and damages. For guest bringing dogs, they will be required to sign an additional "Pet Provision" stating they have read and willing to comply with the Gulf County Animal Control Ordinance. Sight Unseen: We try to under-sell and over-deliver our properties; however, your ideas and ours may not agree on a given property. We will not give refunds or adjustments because a property does not meet your expectations. We manage clean properties that are furnished to the owner’s taste, and no two properties are alike. Rates, bed sizes, descriptions, inventories, and furnishings are subject to change without notice. In the event of a breakdown, we strive to make repairs as soon as possible. Neither the rental agent nor the owner will be obligated to provide replacements or give refunds for failure or absence of any item.

Utilities: No compensation will be given for temporary outage of water, electricity, gas, cable, telephone, or internet services. Outages will be reported immediately, and efforts will be made to have services restored as soon as possible. The operation and maintenance of these utilities is out of the control of Cape San Blas Vacation Rentals, Inc. Elevators cannot be guaranteed, and therefore may not be available. 

Community Rules and Guidelines: Additional guidelines, rules, and regulations may apply for rental units within structured communities. Due to occasional circumstances beyond our control, availability of swimming pools, hot tubs, and tennis courts are not guaranteed with any reservation.

Non-Smoking Units: Smoking is strictly prohibited inside all properties. You will incur additional charges if any evidence of smoking is detected. 

Grills: Grilling is prohibited on all decks, porches, and balconies. Note: Community Rules in most developments prohibit the use of charcoal grills entirely. Guest is responsible for providing all supplies for grilling, even refilling the propane gas if necessary. 

Parking: Please Park in designated areas only. Most properties only allow parking for two (2) standard size vehicles. A vehicle towing a trailer will be counted as the maximum allowed. Recreational vehicles (RVs) are not allowed at any rental property except RV sites. 

Locked Closets: Most property owners have a locked closet in their unit for personal possessions. These closets are private and are not to be opened by tenants or guests under any circumstances. Some garages are locked and are not for tenant or guest use.

Linens: An initial linen supply (one set of towels including one bath towel, one hand towel, and one wash cloth per number of persons the property sleeps and one set of sheets per bed) will be provided. All beds will be made except for the sleeper sofas, futons, and trundles. Kitchen lines include one dish towel and one dish cloth. Any lost or damaged linens are the responsibility of the guest and are subject to a replacement cost of three (3) times the supplier's fee for the item.

Agency Indemnity: Cape San Blas Vacation Rentals, Inc. will not be liable for any damages to rental property or furnishings, nor for injuries resulting from any accident that may occur in or on the premises during guest occupancy. Agent is not liable for acts of theft, vandalism or damages to any guests’ personal property, or for items left in rental units. Agent assumes no liability for errors or omissions.
